💎 1. Our Commitment to Fairness, Safety & Quality
At Tahoe Snowshoe Tours, every adventure is intentionally designed for a small number of guests to ensure a calm, personalized, high-touch wilderness experience. To maintain this standard of care, a clear cancellation policy is essential. It allows us to reserve your guide, secure limited backcountry equipment, and deliver the intimate experience our guests expect. We believe in transparency and fairness. Like an airline ticket, you may reschedule for a modest fee or use pre-purchased travel cancellation insurance to protect your plans.
We do not assume the financial or operational risk associated with your reservation. Buy trip cancellation insurance to protect your payment.

📬 2. Communication, Accuracy & Guest Responsibilities
Email Is Required for All Communications
All reservation communication is conducted exclusively through email. This ensures accuracy, avoids misunderstandings, and maintains a complete written record. If we have availability for your dates, you will receive our intro email and a no-obligation invoice. If you don’t receive an email, we do not have availability.
Read Everything We Send
Guests must read all instructions provided in our emails, website, liability release, invoice, and linked resources. We are not responsible for anything you didn’t read, missed, overlooked, or misunderstood before paying. Payment is acceptance of all terms, conditions, and disclaimers.
Accurate Participant Information
The booking party must provide the full names of all participants immediately after payment. If names and corresponding liability releases are not received within 4 hours of payment, your reservation may be canceled without refund.
Fitness, Clothing & Preparedness
Participants must realistically evaluate their ability to walk 2+ miles in 2 hours at lower elevations. Snowshoeing at 8,900 ft is physically demanding. Improper clothing or unsafe footwear may result in refusal of participation with no refund.
📅 3. Cancellation Policy & Payment Terms
Refund Schedule
All refunds are subject to a 15% processing fee.

0–35 days before tour: No refund

36–46 days before tour: 45% refund

47+ days before tour: 95% refund
Holiday Blackout Periods (No Refunds)
Thanksgiving week • Christmas week • New Year’s week • Presidents Week •
Spring Break (last two weeks of March) • Easter week
Holiday weeks run Sunday–Sunday.
Cancellation Rules

All cancellations must be made by email.

Cancellations are final and cannot be rescinded.

Cancellations cannot be converted to credit, gift certificates, or future reservations.

Terms apply whether initiated by the guest or by the company.
One-Time Courtesy Reschedule
One reschedule is permitted for $75, with 7+ days’ notice, same winter season, non-holiday, subject to availability.
Day-Of Cancellations & No-Shows

No-shows and same-day cancellations are charged 100% of the tour cost.

Attempts to cancel after the tour start time are treated as no-shows.
🌨️ 4. Weather, Road Conditions & Early Termination
Weather & Snow Conditions
We operate in all standard winter weather. No refunds for cold temperatures, wind, visibility, snow conditions, or if the tour becomes a scenic hike due to lack of snow.
Early Termination
No refunds for early departure, illness, fatigue, physical limitations, altitude challenges, or clothing issues.
NV SR431 Road Closure
If the road is officially closed, we will attempt to reschedule. If not possible, a one-time reschedule credit for the same winter (non-holiday) will be issued.
📝 5. Liability Release Requirements
Mandatory Online Release
Each participant must complete the online liability release at: tahoesnowshoetours.com/liability
The release must be completed within 4 hours of payment. Participants without a completed release cannot join the tour and will not be refunded.
No On-Site Completion
Releases cannot be completed at the meeting place due to poor cell coverage and fairness to other guests. Tours will not be delayed.
Booking Party Responsibility
It is the booking party’s duty to ensure all participants complete their release before arriving.
🕓 6. Timeliness, Navigation, Parking & Meeting Protocol

Start times are firm; we cannot wait for late arrivals.

Arrive 15 minutes early (1 hour on weekends and holidays) to secure parking.

Meeting locations are shared only via confirmation email (never third-party sites).

Missed meetings due to navigation errors, parking issues, or poor mobile service result in no refund.
Guests are responsible for appropriate winter transportation including AWD/4×4 or snow tires or chains when required.
🐾 7. Wildlife & Wilderness Risk
The forest contains potentially dangerous wildlife.
Your payment signifies acknowledgment that:

You enter the wilderness at your own risk.

Wildlife encounters may cause injury or death.

Tahoe Snowshoe Tours is not responsible for wildlife behavior.

Refunds are not issued for absence of wildlife sightings or unwanted wildlife encounters.
Detailed legal language is included in the mandatory liability release.
📌 8. Additional Terms

Misrepresentation of participant ages, information, or physical condition may result in cancellation without refund.

Dogs must be friendly; we are not responsible for lost dogs.

Credit card chargebacks void all agreements.

Pro Photo products follow their own delivery timelines; albums remain online 30 days.

Snow tubing is “old school” (walk up, slide down) with no lift assistance.
⚖️ 9. Arbitration Agreement
By submitting payment or participating, you agree that:

All disputes or claims will be resolved through binding arbitration in Washoe County, Nevada.

Both parties waive the right to a jury trial.
-
This agreement survives cancellation, non-participation, or termination of services.
